1- Distribute the Fundraising With Portrait Flyers and Hang Posters
2 to 4 weeks before your photo date, place posters in high traffic locations and send home flyers with everyone who has volunteered to help with the program.
2- Advertise Your Fundraising With Portraits Event
Write the date, location, name, and phone number on the posters and put them up in several places, such as:
- around your organization
- at your school
- local shopping area
- see Info for other suggestions
3 – Make appointments for your Fundraising With Portraits Event
Families will call or send their coupon to the Event Coordinator requesting an appointment. Use a pencil to make these appointments as people tend to change their minds as the date of the Shoot nears.
• Assign each family a 15 minute appointment time as close as possible to their request and record their name and phone number on the Fundraising With Pportraits Appointment Sheet provided. Families must pay first to obtain an appointment.
• Send an appointment reminder to the family
• Keep your appointments condensed as much as possible
• Reserve 30 minutes to an hour during the middle of the day to provide the
photographer/portrait passer a meal break. (Sat/Sun only)
4 – The Photography Shoot Day
The hard part is over.
• Location- For the photography room, we will need an open space of at least
20ft x 40 ft with a minimum ceiling height of 9ft and an easily accessible
power outlet. Ideally there will be few or no windows. We will also need
access to bathroom facilities. Places that have worked well at other schools
would be: a classroom, the media center, gymnasium, or cafeteria.
• Location-For the viewing room, we need a separate room that is at least 8×8 foot, two 6 or 8 foot tables, six chairs, and an easily accessible power outlet. It is best to have a private room for the portrait viewings.
• Meet the photographer 2 hours before the first appointment.

• Raise $500 selling 25 Portrait Certificates for a 1 Day Shoot.
Raise $1000 selling 50 Portrait Certificates for a 2 Day Shoot.
Raise $2500 selling 125 Portrait Certificates for a 5 Day Shoot.

• You keep the full $20 donated by each family.
• We require a minimum of 25 families for one day or 50 families for 2 days to be paid and scheduled before we can send a photographer. A final decision will be made 1 week prior to your photography day.
• This special fundraising offer is for a FAMILY portrait! Children must be
photographed with a parent or a legal guardian.
• Our special Fundraising Offer is limited to one coupon per family. No adult or child may appear more than once in this family portrait special.
• Each family portrait session will include a variety of poses – family, children,
parents, or any special requests.
• Additional portraits will be available to order or purchase on the viewing day including canvas wall portraits, framing and Holidays Cards.
Portraits are taken in a variety of poses. Family members view their proofs on a large screen laptop, then select and purchase their portraits on the spot. If the portraits aren’t what the family wants, we can re-take them right away.
The portrait fundraiser event is simple to run. Just have one person to help schedule the appointments in advance, and to attend the event to greet families as they arrive for their session.

Send Emails: friends, family members, classmates from the AW and to your entire directory. It’s not that everyone will be interested in taking the Artist’s Way but most people love to help. If you tell them you are helping to create the next Artist’s Way they will send your email on to other people or refer people to you.
Post on the Web: Facebook, MySpace etc. Meet-up Groups…. the web can be a great way to get the word out.
• Organizations receives a commission on the additional sales
-Sales Percentage: up to 20% of the gross sales is given back to your organization.
